Payment & Cancellation Policy
How payments, deposits, refunds, and cancellations are handled for your GAPI safari booking.

This Payment & Cancellation Policy sets out how deposits, balance payments, refunds, and cancellations are handled for all safaris booked with GAPI Africa Safaris. It should be read alongside our Terms & Conditions, which take precedence in the event of any conflict.
Introduction
GAPI Africa Safaris designs bespoke safari expeditions across Tanzania, working closely with lodges, camps, conservancies, and ground operators to secure your reservation. Because many of these partners hold availability exclusively for confirmed bookings, clear payment and cancellation terms protect both your journey and the small, owner-run properties we work with.
Accepted Payment Methods
We accept the following payment methods for deposits and balance payments:
- Bank wire transfer in USD to our Tanzania or Canada account, details of which are provided on your invoice.
- Credit and debit card via our secure payment link (Visa and Mastercard); a processing fee of 3.5% applies to card payments.
- Mobile money transfer for guests already in Tanzania, arranged directly with our Arusha office.
Deposit & Booking Confirmation
A non-refundable deposit of 30% of the total safari cost is required to confirm your booking, unless a higher deposit is specified in your written quotation. Your reservation is only secured once this deposit has cleared in our account — availability cannot be held on the basis of a verbal or email enquiry alone.
Certain premium camps, private conservancies, and peak-season migration itineraries (such as departures in July, August, and over the Christmas period) may require a higher deposit, or payment in full, at the time of booking. This will always be stated clearly in your quotation before you confirm.
Balance Payment
The remaining balance is due no later than 60 days before your safari departure date. A payment reminder is sent in advance of this deadline; however, it remains the Lead Traveller's responsibility to ensure the balance is paid on time.
For bookings made within 60 days of departure, full payment is required at the time of confirmation. Bookings for which the balance is not received by the due date may be treated as cancelled by the guest, subject to the cancellation scale set out in Section 6.
Currency & Pricing
All quotations, invoices, and payments are in United States Dollars (USD) unless otherwise agreed in writing. If you pay by bank transfer, all bank charges — including those levied by intermediary banks — are the responsibility of the guest, and payments must arrive net of all fees.
Prices are confirmed in full at the time your deposit is received. Prior to that, quoted prices remain subject to change due to park fee increases, fuel surcharges, or exchange rate movements beyond GAPI's control.
Cancellation Policy
All cancellations must be submitted in writing by the Lead Traveller to info@gapiafricasafaris.com. The cancellation date is the date we receive your written notice, and the following scale applies to the total safari cost:
Some third-party suppliers, particularly private conservancies, mobile migration camps, and scheduled light-aircraft transfers, apply stricter non-refundable terms of their own. Where this applies to your itinerary, it will be disclosed to you clearly before you confirm your booking.
Refunds
Where a cancellation entitles you to a partial refund under the scale in Section 6, refunds are processed to the original payment method within 14 business days of written confirmation of the cancellation. Bank transfer fees for the return of funds are deducted from the refunded amount.
We strongly recommend comprehensive travel insurance that includes trip cancellation and interruption cover, as this is the most reliable way to recover costs that fall outside our refund scale.
Rebooking & Postponement
If you need to postpone your safari, we will do our best to move your booking to new dates within 12 months, subject to availability with our lodge and camp partners. A single postponement request made more than 60 days before departure is accommodated free of charge; the cancellation scale in Section 6 applies to postponement requests made within 60 days of departure.
Any difference in cost between your original itinerary and the new dates — including seasonal rate changes — is payable by the guest.
No-Shows & Early Departure
No refund is due for guests who fail to arrive at the start of their safari without prior written notice, or who choose to leave a safari early once it has begun. This applies equally to unused nights, meals, activities, and park fees, which are non-recoverable once booked with our Third-Party Suppliers.
Force Majeure
Where a safari cannot proceed due to circumstances beyond GAPI's reasonable control — including natural disasters, extreme weather, pandemic or public health restrictions, civil unrest, government action, park closures, or airline disruption — we will work with you in good faith to reschedule your safari or apply payments already made toward a future booking. Cash refunds cannot be guaranteed in these circumstances, as costs are often already committed to Third-Party Suppliers on a non-refundable basis.
Third-Party Supplier Policies
Where a lodge, camp, conservancy, or airline applies cancellation or payment terms stricter than GAPI's own — for example, non-refundable rates during peak migration season — those terms take precedence for the relevant portion of your itinerary. Any such terms will always be disclosed to you in writing before your booking is confirmed.
