The agreement between you and GAPI Africa Safaris, governing every journey we design across Tanzania.

These Terms & Conditions govern all safari bookings, itineraries, and services arranged by GAPI Africa Safaris, a tour operator based in Arusha, Tanzania. By making a booking with us — directly, by email, or through our website — you accept these Terms in full, on behalf of yourself and every member of your travelling party.
Introduction
GAPI Africa Safaris designs and operates bespoke safari expeditions, migration journeys, and curated travel experiences throughout Tanzania, including the Serengeti, Ngorongoro Crater, Tarangire, Lake Manyara, and surrounding conservation areas. These Terms apply to every quotation, booking confirmation, and completed itinerary issued by GAPI, whether for individual travellers, families, or private groups.
Please read these Terms carefully before confirming your safari. If any part is unclear, our travel consultants are available to explain your rights and obligations before you commit to a booking.
Definitions
"Booking" means any safari, expedition, or travel arrangement reserved with GAPI, whether paid in full or secured by deposit.
"Lead Traveller" means the person who makes the booking and accepts these Terms on behalf of the travelling party.
"Itinerary" means the day-by-day travel plan, including accommodation, transport, activities, and guiding, confirmed in writing by GAPI.
"Third-Party Supplier" means any lodge, camp, airline, park authority, or ground operator engaged by GAPI to deliver part of your itinerary.
Booking & Confirmation
A booking is only confirmed once GAPI has issued a written booking confirmation and received the applicable deposit. Verbal quotations, draft itineraries, and availability holds are provisional and do not constitute a binding reservation.
The Lead Traveller is responsible for ensuring that all names, dates, and details supplied to GAPI match travel documents exactly, as errors may result in additional fees charged by airlines, parks, or lodges.
Payment Terms
A non-refundable deposit of 30% of the total safari cost is required at the time of booking, unless otherwise stated in your written confirmation. The remaining balance is due no later than 60 days before your safari departure date.
For bookings made within 60 days of departure, full payment is required at the time of confirmation. Certain premium camps, private conservancies, and peak-season migration itineraries may require higher deposits or full pre-payment, as specified in your quotation.
All prices are quoted in USD unless stated otherwise and are subject to change prior to confirmed booking due to park fee increases, fuel surcharges, or currency fluctuation beyond GAPI's control.
Cancellations & Refunds
All cancellations must be submitted in writing by the Lead Traveller. The following scale applies to the total safari cost, calculated from the date written notice is received:
Some third-party suppliers, particularly private conservancies and mobile migration camps, apply stricter non-refundable policies which will be disclosed to you before booking. We strongly recommend comprehensive travel insurance that includes trip cancellation cover.
Itinerary Amendments
GAPI reserves the right to modify accommodation, routing, game-drive schedules, or activities where necessary due to weather, wildlife movement, road conditions, park regulations, or matters of guest safety. Where possible, any substitution will be of equal or higher standard at no additional cost to you.
Guest-requested amendments after booking confirmation are subject to availability and may incur additional charges from lodges, parks, or airlines.
Travel Insurance
Comprehensive travel insurance is mandatory for all GAPI Africa Safaris guests. Your policy must cover trip cancellation and interruption, emergency medical treatment, emergency evacuation (including flying doctor / air ambulance services), repatriation, and loss of personal belongings. Proof of valid insurance may be requested prior to departure. GAPI accepts no liability for costs arising from a guest's failure to secure adequate cover.
Passports, Visas & Health
Guests are solely responsible for holding a passport valid for at least six months beyond their travel dates, obtaining any required Tanzanian visa, and meeting all entry health requirements, including yellow fever vaccination where applicable based on your travel history.
We recommend consulting your physician or a travel health clinic regarding malaria prophylaxis and other recommended vaccinations at least four weeks before departure. GAPI is not liable for denied entry, missed flights, or additional costs resulting from incomplete travel documentation.
Safety & Assumption of Risk
Safari travel takes place in remote wilderness areas involving inherent risks, including but not limited to encounters with wild animals, uneven terrain, changing weather, and travel on unpaved roads. By booking with GAPI, you acknowledge and voluntarily accept these risks for yourself and any minors in your party.
Guests must follow all safety instructions given by GAPI guides, camp staff, and park rangers at all times, including remaining inside vehicles during game drives unless expressly authorised to disembark.
Guest Conduct
GAPI reserves the right to remove any guest from a safari, without refund, whose conduct endangers the safety, wellbeing, or enjoyment of other guests, staff, or wildlife, or who fails to comply with reasonable instructions from guides or park authorities.
Liability
GAPI acts as the organiser and coordinator of your safari, engaging reputable Third-Party Suppliers to deliver accommodation, transport, and activities. While we select our partners carefully, GAPI's liability for the acts, omissions, or default of any Third-Party Supplier is limited to the extent permitted by Tanzanian law.
To the fullest extent permitted by law, GAPI's total liability arising from any booking shall not exceed the total amount paid by the guest for that booking, except in cases of death or personal injury caused by GAPI's proven negligence.
Force Majeure
GAPI shall not be held liable for any failure or delay in performing its obligations resulting from circumstances beyond its reasonable control, including natural disasters, extreme weather, pandemic or public health restrictions, civil unrest, government action, park closures, or airline disruption. In such cases, GAPI will work with guests in good faith to reschedule or adjust itineraries where possible, though refunds cannot be guaranteed for costs already incurred with Third-Party Suppliers.
Complaints Procedure
Any concern during your safari should be raised immediately with your guide or our on-ground team so it can be resolved in real time. If unresolved, a written complaint should be submitted to GAPI within 14 days of the safari's end date, including relevant details and dates, so that we may investigate thoroughly.
Intellectual Property
All content on the GAPI Africa Safaris website, including text, photography, itineraries, and branding, is the property of GAPI Africa Safaris or its licensors and may not be reproduced, distributed, or used commercially without prior written consent.
Governing Law & Jurisdiction
These Terms are governed by the laws of the United Republic of Tanzania. Any dispute arising from a booking with GAPI shall be subject to the exclusive jurisdiction of the courts of Arusha, Tanzania, without prejudice to any mandatory consumer protections in the guest's country of residence.
